What Gifts in Kind does for a nonprofit

Gifts in Kind is the surplus marketplace and in-kind tracking module inside ImpactMatrix. Companies post surplus with category, condition, quantity, value, delivery and tax-receipt settings; nonprofits Browse and Request to Claim; the donor accepts or rejects; claimed goods appear under Received Goods where you arrange a shipment, chat with the donor, confirm delivery and issue an IRS-compliant tax receipt. Distribution reports include SDG tags.

What you can do

The full in-kind cycle, using the tabs on the module.

Browse

Read listing cards showing photo, title, organization, location and units, then Open the ones that fit. Location and units are the two fields that decide whether a claim is realistic — a great donation you can't store is a problem, not a win.

Request to Claim

Claim what your program can move. The donor accepts or rejects, so the exchange stays a conversation rather than a first-come free-for-all.

Received Goods

Track accepted claims through shipment and chat with the donor as arrangements change. Confirm delivery at the receiving end to close the record.

Tax receipt

An IRS-compliant tax receipt is generated when delivery is confirmed, using the tax-receipt settings the donor chose on the listing. ImpactMatrix does not give tax advice — the receipt is a record of what moved.

Reports

Pull distribution reports with SDG tags for funders and board packets, built from the claims and deliveries you already processed.

My Listings

Post your own surplus. Nonprofits over-order too, and a pallet you can't use is somebody else's program budget.

How claiming in-kind works

01

Find a listing you can handle

Browse and filter for location and units. Check storage and distribution capacity before you claim — the listing shows both.

02

Request to Claim and wait for accept

The donor accepts or rejects. Once accepted, the item moves into Received Goods with a chat thread attached.

03

Confirm delivery, then pull the paper

Arrange the shipment, confirm delivery, and the receipt generates. Distribution reports with SDG tags follow from the same record.

Why nonprofits lose in-kind donations they were offered

The problem

In-kind arrives as an email from a regional manager with a photo and a deadline. Somebody has to decide in an hour whether you can store forty pallets, find a truck, and then reconstruct the value and the acknowledgment letter three months later for the audit.

What the platform does

Every stage lives in one module: the listing with condition, quantity, value and delivery terms, the claim, the accept, the shipment, the confirmed delivery, the receipt, the distribution report.

The artifact

An IRS-compliant tax receipt for the donor and a distribution report with SDG tags for your funder — both generated from the delivery record rather than reassembled from memory.

Not an auction-prize portal, not a warehouse ERP

Some in-kind platforms exist to source raffle baskets and event prizes for galas — genuinely useful, entirely different job. At the other end, warehouse ERP systems handle barcoding, donor restrictions and freight for very large NGOs. Gifts in Kind here is operational in-kind for the middle: surplus that has to reach a program, with the claim, the move, the delivery proof and the receipt attached.

Use ImpactMatrix when

You take in donated goods that have to be stored, moved and distributed, and you need the receipt and the distribution record to hold up.

Use something else when

You need auction and raffle items for a fundraising event, or a full warehouse management system with serialized pharmaceutical tracking.

Each card carries photo, title, organization, location and units, with Open to see condition, value and delivery terms.
Gifts in Kind — Received Goods
Accepted claims land here with shipment status and a chat thread. Confirming delivery is what generates the receipt.
Gifts in Kind — Reports with SDG tags
Distribution reporting comes out of the claims and deliveries you already handled, tagged for funder reporting.
Gifts in Kind — New GIK Listing
Nonprofits list surplus too. Category, condition, quantity, value, delivery and tax-receipt settings are the fields the match engine reads.

Questions

How do nonprofits claim in-kind donations on ImpactMatrix?

Open Gifts in Kind, use the Browse tab to find a listing, then select Request to Claim. The donor accepts or rejects the request. Accepted claims appear under Received Goods, where you arrange the shipment, chat with the donor, and confirm delivery to close the record.

Does ImpactMatrix generate in-kind donation tax receipts?

Yes. An IRS-compliant tax receipt is generated when delivery is confirmed, based on the tax-receipt settings the donor selected on the listing. ImpactMatrix provides the receipt as a record of the donation and does not provide tax or legal advice on how it should be treated.

What is a gifts in kind platform?

A gifts in kind platform is software where organizations list donated goods and other organizations claim, receive and document them. ImpactMatrix covers listing, AI-suggested recipients, claim and approval, shipment, delivery confirmation, tax receipts, and distribution reports with SDG tags in one module.

Can we report on what we distributed?

Yes. The Reports tab produces distribution reports with SDG tags, built from the claims and confirmed deliveries your team already processed. Because the reporting comes out of the operational record, there's no separate data-entry step before a board or funder deadline.

Is Gifts in Kind included in the nonprofit plan?

Yes, and it's available during the 30-day free trial with no credit card required. Nonprofit plans are seat-based from $29.99 per month for a single user, and every plan also includes ImpactVolunteer at no extra cost.
