Step-by-Step Guide
Go to the platform and click Get Started or Register.
Enter your email, set a password, and confirm it — or sign up with Google.
Email signup: click Send Code to receive a 6-digit verification code by email, then enter it.
After verifying, you land on a landing page — click Log in to sign in. Organization details can be completed later.
Tips
- Every organization starts with a 30-day free trial — no credit card required.
- A banner appears on the Overview when your profile is incomplete, and a toast warns you if you try to create a need or offer before completing it.
- Signing up as an Individual rather than an organization limits you to Offers and connection requests, and can't be changed later — see the Individual Accounts section.
Click Login and enter your email and password, or use Google sign-in.
Forgot password? Click “Forgot your password?” — email accounts only.
Visit the Overview page. If your profile is incomplete, a Complete Your Profile banner appears — click Go to Profile Settings.
Fill in your organization name, type, location, and contact details.
Nonprofits — enter your country and government registration number, then click Verify to check it instantly against charity registries (strongest coverage for US, UK, and New Zealand). A green Verified badge appears on success.
No match found? Save your profile and upload a proof of charitable status document (PDF, JPG, or PNG, max 10MB) — our team will review it manually.
A completed organization profile is required before you can create needs, offers, shipments, or use most dashboard tabs.
Tips
- Supplier team members are taken straight to the Supplier dashboard after login; on first login they're asked to set a new password.
- Verification is optional at save time — you can finish your profile now and verify later from Profile Settings.
Open Create Need from Quick Actions on the Overview page, or from the My Needs section header.
Select a category: General · Transportation · Warehousing · Equipment · Expertise.
Fill in the title, description, primary and sub-category, location, priority, and type of need.
Optionally tag the need to an Event, then submit — it appears under My Needs and is visible to partners.
Open Create Offer from Quick Actions on the Overview, or from the My Offers section header.
Select a category — the same types as Needs: General · Transportation · Warehousing · Equipment · Expertise.
Fill in the title, description, sub-category, condition, location, delivery range, and support type.
Optionally tag the offer to an Event, then submit — it appears under My Offers and is discoverable by others.
Open Create Event from Quick Actions, or the My Events section on the Overview.
Enter a title, choose an event type, and add a description.
Set the country and primary location — you can add up to three additional locations.
Save the event, then tag your needs and offers to it during creation so partners see the full context.
Tips
- Tagging keeps every need and offer for one response connected under a single event.
- Edit an event any time from My Events.
Discover from three places:
Public Finder — Find Humanitarian Offers & Needs Near You with Offers / Needs tabs. Nearby pages — Find Offers or Find Needs by location with a map and radius filter. Browse Needs / Browse Offers in My Items (also reachable via View All on Recent Needs / Recent Offers) — the same search-and-connect experience from inside your dashboard, scoped to exclude your own organization's listings.
Open a listing and click its connect button — your request is sent instantly and shows as Pending.
Track everything from the Overview: click the Offers Created tile in Quick Actions (nonprofits see Needs Created), or open the Sent Requests section.
Sent Requests is organized into tabs, and which ones you see depends on your organization type.
My Needs → Offers · My Offers → Needs · My GIK Claims (donors) · My Supply Requests (suppliers).
Tips
- You can withdraw a request you sent at any time before it's accepted.

Chat is available at every status stage (Pending, Active, Rejected, Completed) unless closed by both parties.
Fastest route: click the Needs Received tile in Quick Actions on the Overview (nonprofits see Offers Received). The Incoming Requests panel opens with a live count badge.
Tabs: Offers → My Needs · Needs → My Offers · Supply Requests (suppliers) · GIK Requests (donors).
Per-listing route: go to the Overview and scroll to My Needs or My Offers, then click the Status button on the relevant card.
A side panel opens showing requests grouped as Pending · Active · Completed · Rejected.
Review pending requests and click Accept or Reject.
Tips
- Chat is available at every status — Pending, Active, Rejected, Completed — unless closed by both parties.
Give a quantity when you create a need or offer (for General and Equipment). That total is what fulfilment is measured against.
Transport, Warehousing, and Expertise don't use quantities — they finish when the connection is marked complete.
When someone offers help on a quantified listing, they enter how much they can provide — their promised amount.
When you accept a request, that promised amount is reserved against your total. You can lower it while accepting, but never above what was promised, and never beyond what's still open.
Several helpers can each contribute to the same listing — accepting one does not reject the others.
As deliveries are confirmed, the amount delivered goes up and the reserved amount goes down. A fulfilment meter shows promised vs delivered against the total everywhere you see the listing — under My Items on the Overview, and on the homepage feed where your listings have a highlighted border.
When the delivered amount reaches the total, the listing closes automatically (Fulfilled) and leaves the active listings — you'll get a notification. No action needed.
To close a listing early, click Close on the card — the small ⃠ button next to Status under My Items, or the Close listing button on your highlighted card in the feed — and confirm.
Closing removes it from active listings and stops new requests. Everything already delivered is kept, and you can still view it under My Needs / My Offers.
Tips
- A short delivery only frees up the part that didn't arrive — a partial delivery in progress keeps its remainder reserved and does not re-open the listing.
- If a delivery is disputed or rejected, just the undelivered remainder re-opens; the amount already confirmed still counts.
- Only the organization that created a listing can close it, and a listing that's already fulfilled or cancelled can't be closed again.
- Closing is reversible only by support — use it when you no longer want help on that listing.
If you received the request: Overview → My Needs or My Offers → Status button → open the connection → Chat.
If you sent the request: Overview → My Sent Requests (or the Sent Requests section) → open the connection → Chat.
Send text, photos, documents, and voice messages in real time to agree timelines, quantities, and logistics.
React to any message with an emoji — hover or tap it and pick from quick reactions or the full picker.
Tap an existing reaction summary to see who reacted; tap your own again to remove it.
Tips
- Chat stays open across Pending, Active, Completed, and Rejected statuses.
- Either party can close the chat once done; it's unavailable only when both sides have closed it.
- This is the 1-to-1 chat attached to a single connection. For open coordination across the whole community, use ImpactChat — the next section.
Click ImpactChat in the top bar (or open Chat from the dashboard). Your Home screen shows unread messages, mentions, critical threads, and your events at a glance.
Pick an ImpactChat username the first time you enter — that handle is your identity in every room, and you can change it from Home.
Global Chat is the open room every verified organization is part of. Post resource offers, updates, and introductions when you're not sure where else to ask.
Event rooms give one workspace per response, with nested sub-rooms up to two levels deep (for example Shelter → Tarpaulins). Create an event yourself, join one you're invited to, or launch a fully-structured event from a Template in one click.
Direct Messages are private 1-on-1 conversations with any organization. Hover any message and click the DM icon, or open a room's Members panel and click a name.
Start an audio or video call from any event room — everyone in the room is notified and can join while it runs. Calls end automatically after 10 minutes.
Each room has a Canvas — a shared live document for objectives, checklists, and notes. You can also keep private canvases only you can see.
Invite new or existing organizations into a response by email, straight from the sidebar.
Tips
- Message tools: threads, @mentions, reactions, pin, priority/critical flag, edit and delete, forward, links, and formatting.
- Share photos, documents, voice notes, and your location directly in a message.
- Everyone in a room can edit its shared canvas. A private canvas is visible and editable only by you.
- Deleting a message is permanent and can't be undone.
- Click the IN icon in the left sidebar to switch to Internal Chat — your private team workspace — without leaving the page. Click IM to switch back.
- A completed organization profile is required to enter ImpactChat.
Open the AI Match tab.
Switch between Needs Intelligence (matched offers for your needs) and Offer Intelligence (matched needs for your offers).
Each match shows a confidence score — Excellent 85%+, Strong 70–84%, Moderate 50–69%, Low below 50% — with the reasoning behind it.
Filter by score, category, location, or match status, then open any match to act on it.
Tips
- Completed connections are excluded so you only see active opportunities.
The ImpactMatrix Assistant is available on every page — open it from the assistant button in the corner of the screen.
Ask how a feature works, where to find something, or get help drafting an update or message.
Inside ImpactChat you can also reach it from Help & Guide → Ask AI.
Navigate to the Suppliers tab. Find Supplies has three tabs — Manual Search, AI Intelligence, and Platform Supplies.
Manual Search: select a disaster type — the guidance card suggests 3 tiers of priority supplies. Click a suggested product to auto-fill, or type your own (e.g., generators, medical kits, water).
Select State (required) and optionally City, then click Find Supplies. The results grid shows product name, price, store, distance, and stock status.
View Stock Details opens the retailer page; Get Directions appears when no product link is available.
AI Intelligence: select a State and Disaster Type (City optional) for disaster- and location-specific guidance — a summary, shortage alerts, ranked supplies and suppliers, and active FEMA/NOAA hazard cards.
Platform Supplies: browse listings posted by supplier organizations on ImpactMatrix, request a quantity, and chat with the supplier. Your requests appear under My Supply Requests in Sent Requests.
Supplier organizations get a My Supply section: Create Supply to post listings, All Listings to manage them, and Requests to accept or reject incoming supply requests.
Supplier admins also see My Team for inviting team members and Audit Log for a record of changes.
Under My Supply → Create Supply, build one listing with up to 5 products — use Add another product for each, setting its own title, description, quantity, unit, price, category, condition, price type, shipping payer, and optional image.
All products in a listing share one location (with up to 3 additional locations optional); the submit button shows Create Listing (N Products) once more than one is added.
Tips
- Product name and state are both required for a manual search.
- Stock status is pulled live from retailer inventory.
- A supply listing can hold up to 5 products — on the listing card they appear as a slider with a product-count badge and prev/next navigation.
- Try a major city (e.g., Houston, Miami, New York) if AI Intelligence returns no local supplier stock for your state or city.
- Completed supply requests flow into Shipment for tracking, and into Deliveries for confirmation.
Open the Gifts in Kind tab — what you see depends on your organization type.
Donors (corporate & academic): click New GIK Listing and add title, category, condition, quantity, estimated value, delivery options, locations, and tax-receipt settings.
After posting, an AI matching panel suggests relevant nonprofit recipients with a match score.
Nonprofits: under Browse, click Request to Claim to send a request to the donor.
Donors review claims under Requests and Accept or Reject each — accepting marks the donation complete and rejects the other pending claims for that listing.
Donors can download the IRS-compliant tax receipt directly from a completed listing (My Listings) or from the separate My Donations tab — available as soon as the donation is completed, independent of the nonprofit's own delivery confirmation.
Track accepted and completed donations under the My Donations tab: see the receiving nonprofit, track the shipment, and chat — distinct from My Listings, which is for managing active/open listings.
Nonprofits track claimed donations under Received Goods: track the shipment, chat with the donor, confirm delivery once it arrives, and download their own copy of the IRS-compliant tax receipt.
Tips
- Donors can edit a listing any time via Edit Listing.
- If a claim is rejected, a clear Rejected status is shown — nothing disappears silently.
- Completed GIK donations flow into Shipment for tracking.
- Both the donor and the receiving nonprofit can independently download the same tax receipt once a donation is completed.
From Gifts in Kind → Received Goods, open a completed donation and record a distribution report.
Enter the intended use, distribution method, estimated beneficiaries, beneficiary group, location, and dates.
Add SDG tags, mark emergency response if applicable, and include any notes.
Save as Draft to finish later, or Submit to lock it as a compliance record.
Tips
- The Distribution Reports page summarizes total reports, submissions, drafts, and beneficiaries reached.
- Available to nonprofit organizations.
Dashboard tab: view shipments on a map. Each card shows status, addresses, estimated delivery, and a copyable tracking link. Click Track Shipment for full detail.
Plan New tab: pull from completed connections that don't yet have a shipment — Available Needs, Available Offers, Gifts in Kind, and Supply.
Click Create Shipment on a card — the form is pre-filled with item and location data.
Complete the remaining fields and submit — the shipment appears in the Dashboard tab.
Share the tracking link with recipients — it is public and requires no login.
Tips
- Shipments can only be created from fully completed connections.
- Status progression: Created → Planned → Picked Up → In Transit → Out for Delivery → Delivered.

When a shipment to you is marked delivered — or a connection has gone a while without tracking — a delivery appears under the Deliveries tab for you to confirm.
Open the delivery and enter the quantity received and arrival date; optionally add condition notes, a photo, and your location.
If everything arrived, submit to mark the delivery verified. If only part arrived, the sender is notified of the outstanding amount and can ship the remainder as a new round on the same delivery.
If something is wrong or nothing arrived, choose Report a problem and pick a reason — the dispute is reviewed and resolved by the platform team.
Once verified, download your receipt from the Deliveries tab: a delivery receipt PDF for Need/Offer and Supply flows, or an IRS-compliant GIK tax receipt for Gifts in Kind.
Tips
- Only the receiving organization confirms a delivery; both parties can view it.
- A GIK tax receipt is issued only after you confirm delivery — and if the donor requested an impact report, you'll get an email asking you to submit one.
- Location shows Verified only when your captured GPS is actually within range of the destination.
- After you confirm a delivery, you'll be prompted to rate the experience (quantity match, communication, would-connect-again). This builds the other organization's trust score, shown on their profile and on their listing cards to other users.
From Quick Actions or My Items, click Create Story.
Requires a completed organization profile and an active plan; not available on Individual accounts.
Add a title and full story content, plus an optional summary, tags, and photos or videos.
Images up to 10MB, videos up to 50MB.
Publish — it appears in your My Stories tab and in the public Stories feed on the dashboard overview, where anyone can like, comment, and share it.
Tips
- Only you, the author, can edit or update your story afterward.
- Published stories also appear on the public Impact Stories page, readable without a login.
Open the CSR / ESG tab (available to corporate and academic organizations).
Review your impact summary, framework coverage, and verified impact pulled from nonprofits that received your donations.
The Verified Impact Data card shows nonprofit-confirmed metrics: Confirmed Beneficiaries, Countries Reached, Emergency Responses, and Report Rate, plus the SDGs recipients have confirmed and a paginated list of individual distribution reports.
Submit metrics in the reporting form, organized by framework: Core ESG, CSRD/ESRS, GRI, BRSR, CSR, and SPHERE.
Track each submission through Draft → Submitted → Under Review → Approved → Locked.
Map priorities on the double-materiality matrix, then export PDF/CSV reports or a CSRD iXBRL package for regulatory filing.
Tips
- Approved submissions lock for audit integrity.
- Export iXBRL generates a tagged ESRS report ready to submit to your regulatory portal.
- Verified impact data comes only from recipients' submitted Distribution Reports, so figures reflect confirmed use rather than estimates — see the Distribution Reports section.
The Case List shows stats — Total, Active, Pending, Critical — and a filterable table. Filter by status, priority, or tier, search, and export as CSV.
Click New Case, then choose Fill Manually or AI Intake.
AI Intake: upload a PDF or image of a field report (or paste text). The system extracts and pre-fills the fields, flags missing required info, and warns if the person may already exist.
Person Information: enter name, mobile, email, and address — auto-complete fills city, state, and ZIP — then check the consent box.
Case Details: set status (default Intake), priority (default Medium), tier, and description, then click Create Case to open the case detail page.
Tips
- Case Stages: Intake → Assessment → Active → Pending → Resolved → Closed.
- Priority: Critical · High · Medium · Low. Tiers: Tier 1–4.
- From the detail page: update status, log activities, add assessments, assign team, and create referrals.
- Case Management may be enabled or disabled by your administrator.

Open the Internal Matrix tab.
Build a private network with partner organizations — needs, offers, and shipments shared inside it are visible only to members.
Network admins manage members and can apply their own branding to the shared workspace.
Open Internal Chat from the button in the top-right of Internal Matrix, or by clicking the IN icon in the ImpactChat sidebar. It's the private messaging workspace for your own team.
Network is the room that reaches everyone in your organization — start there when you're not sure where to post.
Create private Channels for specific work — shelter, logistics, medical — plus event rooms with sub-rooms, direct messages with teammates, Canvas, and Templates.
Tips
- Ideal for coordinated response between trusted partners, kept separate from the public platform.
- Internal Chat has the same message tools as ImpactChat: threads, @mentions, reactions, pin, priority/critical flag, edit and delete, forward, and formatting.
- ImpactChat and Internal Chat live in the same app — switch between them with the IM and IN icons in the left sidebar, without leaving the page.
Open the Invite tab.
Invite a single contact by email with an optional personal message, or switch to Bulk Upload to invite many at once via CSV (download the template first).
Click Send Invitation — recipients receive an email with a signup link.
Corporate, academic, and government organizations see two tabs — Invite Sub-branches (send an invite and track its status) and Network.
The Network tab shows aggregate stats across all your sub-branches (Sub-branches, Total Needs, Total Offers, Connections) and an expandable list of each branch.
Expand a branch to view its full Needs, Offers, and Connections; a branch that accepted an invite but hasn't finished its profile shows as "Profile not completed" until it does.
Track invitations in Your Invitations: Sent, Accepted, or Expired — with dates.
Tips
- Sent = awaiting response · Accepted = invitee signed up · Expired = not accepted within 30 days.
- Invitations are valid for 30 days.
Open the Refer & Earn tab (available to nonprofits on an active paid plan).
Copy your unique referral link, or invite an organization by email.
When a referred organization subscribes, you earn 20% of their monthly subscription fee for 12 months.
Connect a bank account via Stripe to receive automatic payouts on the 1st of each month.
Tips
- Summary cards track Lifetime Earned, Pending Payout, and Total Paid Out.
- A 12-month timeline shows each referral's monthly payout status.
During Log In & Complete Profile, choose Individual as your organization type.
Your own name is used as the organization name automatically.
A confirmation dialog warns that this choice is a one-way lock — once set to Individual, an account can't switch to another organization type.
You can create and manage your own Offers and connection requests in the regular Need/Offer marketplace, chat on those connections, and track shipments and delivery confirmations for them.
Tips
- Gifts in Kind (GIK), Needs, CSR/ESG reporting, Invite, Refer & Earn, and User/Member Allotment are part of the organization experience.
- Create Offer is available from your dashboard; Create Story and Create Event are part of the organization experience.
Every organization starts with a 30-day free trial of the Starter features — no credit card required.
A banner on your dashboard counts down the days remaining in your trial.
Open Billing to view plans priced for your organization type and upgrade before the trial ends.
Once you're on a paid plan, the trial banner disappears and full access is retained.
Tips
- When a trial ends without upgrading, the account moves to read-only access.
- Nonprofits and Foundations use seat-based pricing on ImpactMatrix, starting at $29.99/month for just you. Suppliers are priced by revenue tier, then per seat within that tier, starting at $199/seat for Small Vendor — see the User Allotment section below for how inviting others works.
Open the User Allotment tab (Nonprofit, Foundation, and Supplier accounts).
Seat #1 is always you — it's never an invite slot. Your invite capacity is always one less than your total seat count.
Invite someone by email — they get their own independent account, with billing borrowed from your plan while they're on your team, covering their access on both ImpactMatrix and ImpactVolunteer.
Either you or the person you invited can end that connection anytime — they simply return to their own individual plan with no disruption.
Nonprofit and Foundation admins can raise or lower their seat count for free anytime from this tab, with the per-seat rate decreasing as seat count grows. Supplier admins change seat count by purchasing more or fewer seats from the Billing tab — every Supplier seat is a paid seat, there's no free self-serve adjustment.
Tips
- A 10-seat plan, for example, covers you plus 9 team.
- Invited people keep their own account and data — this isn't shared workspace access, just borrowed billing.
Open the Member Allotment tab (Business and Academia accounts).
Invite an employee (Business) or student (Academia) by email — they get full access on both ImpactMatrix and ImpactVolunteer under your plan.
This is the same list as ImpactVolunteer's own Invite Employee/Student tab — invite, revoke, or reinvite from whichever platform is more convenient, and see who was invited from the other one.
Revoke a member to remove their access on both platforms immediately, or reinvite someone from History to restore it.
Tips
- Unlike User Allotment, every seat is invitable — there's no seat reserved for the admin.
- Members can't manage their own billing or leave on their own — removal is admin-only, from either platform.
- Invitation limits apply based on your billing plan. Exceeding the limit shows a prompt to upgrade.
