What Warehouse is

Suppliers on ImpactMatrix list products as supply, receive supply requests and ship through Shipment. Warehouse is a separate module for organizations that store and hand out goods. A supplier that also operates a distribution site can use both.

What you can do

Everything below is a screen or a field in the product, not a roadmap item.

Setup

Create a warehouse, collection point or POD with its address and county, then add zones and items. A nonprofit can run more than one site.

Team

Invite staff and give each a role such as Warehouse Manager, Receiver, Order Desk, Picker, Driver or Food Safety Officer. Staff sign in separately and see only what their role allows.

Receive

Open a receipt for each delivery and record the lines. Cold-chain items go on hold automatically, and food needs an expiry date before it can be made available.

Sort

Take a mixed pallet apart into new pallets, and log rejects by unit count so nothing disappears between the dock and the shelf.

Put away & Move

Put each pallet in a zone that matches its storage class, frozen to freezer and refrigerated to cooler, or move a pallet to another of your own warehouses.

Stock explorer

See what is on hand and where, by site, zone and pallet, with stock by age so expiring goods go out first.

Holds & recalls

Place a hold for temperature, recall, damage, expiry or inspection, release it later, and trace a recalled item to everywhere it went.

Requests

Partner agencies shop for the items they are eligible for, the order desk approves, and the request moves through allocation, picking and loading.

Shipments

Stage, load and dispatch with a bill of lading, then confirm delivery, or mark an order ready for pickup at the dock.

Operations

Switch on disaster mode with an activation wizard, operational periods, objectives and ICS forms, and share a read-only view with an emergency operations center.

Volunteer

Run the roster, let volunteers check in and out at a kiosk after the safety message, and have a certifier sign off the hours.

Reports and Chain of custody

Throughput, stock by age, holds and operation history, backed by an append-only record of every inventory-affecting action.

Create your first warehouse

Add the site with its address and county, then its zones and the items you handle.

Add your team and partners

Give each staff member a role, and invite partner agencies by email. An agency that accepts waits for the order desk to approve it.

Receive, sort and put away

Open a receipt for the truck, record the lines, sort mixed pallets and put every pallet in the right zone.

Fill orders and ship

Approve agency requests, allocate stock, pick, load, dispatch and confirm delivery.

Questions

Is Warehouse a full warehouse management system?

It is built for food banks and disaster relief warehouses: receiving, sorting, put away by zone, stock, holds and recalls, agency orders, picking and loading. Shipment remains the movement record between organizations, and Warehouse does not replace your accounting system.

Who can use Warehouse?

An organization creates its warehouses from the dashboard and invites staff who sign in with their own role. Partner agencies join a food bank's warehouse through an emailed invite, and government or EOC users can be given read-only access to a disaster operation.

What does disaster mode do?

Operations activates ICS-style structure for a response: states from Watch to Closed, operational periods with objectives, a roster, forms such as ICS 201, 209, 213RR and 214, situation reports and a demobilization checklist. Closing an operation needs a second approval.

Will recipients' warehouses see my supply?

Recipients see your supply listings and send supply requests. Their warehouse receives the goods when they arrive.
