What User Allotment does

User Allotment is the seat-management module in ImpactMatrix. It shows a usage bar of seats in use against seats available, lists Team Members with a history of changes, and covers both ImpactMatrix and ImpactVolunteer from the same allotment. Seat count changes are made on Billing and take effect at the next bill date, so there are no mid-cycle charges.

What you can do

Seat administration that a small finance team can actually predict.

Usage bar

See seats in use against seats available at a glance — for example 6 of 19 — before you promise access to a new program hire or a seasonal coordinator.

Team Members

The list of who holds a seat. During a response, this is who can post needs, claim GIK and confirm deliveries on behalf of your organization.

History

A record of seat changes over time, which is what you want when a board member asks why the subscription line moved between quarters.

Change Users in Billing

Seat count changes happen on Billing and apply at your next bill date. Nothing is charged mid-cycle, so a mid-month hire doesn't produce an unbudgeted invoice.

Shared with ImpactVolunteer

The same allotment covers ImpactVolunteer, so your volunteer coordinator isn't a separate line item in a separate contract.

Why seat mechanics matter to a nonprofit

The problem

Nonprofit staffing is seasonal and grant-shaped. Software that bills per-seat mid-cycle turns a two-month surge hire into a budget variance somebody has to explain, and per-seat pricing across two products doubles the problem.

What the platform does

A single allotment covering both ImpactMatrix and ImpactVolunteer, visible as a usage bar, with seat changes applied at the next bill date.

The artifact

A predictable subscription line and a seat history that explains itself at audit time.

Two products, one team

Organizations that run goods coordination in one tool and volunteer coordination in another pay twice and reconcile two user lists. Here, the seats your team holds cover ImpactMatrix and ImpactVolunteer together, and the seat change rules are stated up front rather than discovered on an invoice.

Use ImpactMatrix when

You want one seat list and one bill covering both goods coordination and volunteer coordination.

Use something else when

You need per-department billing splits or complex license entitlements — confirm what's possible on View Plans before you build a process around it.

Questions

How do team seats work on ImpactMatrix?

Your plan includes a seat allotment shown as a usage bar of seats in use against seats available. Team members you invite occupy those seats, and the same allotment covers ImpactVolunteer, so one team list works across both products.

Am I charged immediately when I add a seat?

No. Seat count changes are made on Billing and take effect at your next bill date, with no mid-cycle charges. That's deliberate: nonprofit hiring is seasonal and grant-shaped, and mid-cycle proration makes a subscription line hard to budget.

Does ImpactVolunteer need separate seats?

No. ImpactVolunteer is included with an ImpactMatrix subscription at no extra cost, and your team shares the same seat allotment across both. Your volunteer coordinator doesn't need a separate contract or a separate user list.

Can I see who holds a seat and what changed?

Yes. The Team Members list shows current seat holders, and History records seat changes over time. That's the record you want when a board or funder asks why the subscription cost moved between reporting periods.

How many seats do I get on each plan?

Seat counts follow the plan you choose — Starter covers a single user at $29.99 per month, while Growth, Community and Enterprise are priced per user at $24.99, $19.99 and $14.99 respectively. Confirm the seat allocation for your plan on View Plans.
